The Operational Roadblock
BHP needed to operationalise e-Invoicing at scale across multiple dealer and fleet customer combinations. The process relied on transaction data extracted from its fleet management system and required a reliable way to manage large monthly invoice volumes while ensuring compliance with Malaysia’s LHDN MyInvois requirements.
The key operational requirements included invoice consolidation, invoice running number management, PDF invoice generation, customer and dealer email distribution, exception handling, and MyInvois validation. Managing these processes manually would have created significant operational effort, increased the risk of errors, and made it difficult to track failed validations or delivery issues efficiently.
The MOGU Approach
MOGU implemented an automated e-Invoicing workflow designed to integrate smoothly with BHP’s existing operational process. The solution used Excel-based data ingestion and secure SFTP integration to process fleet transaction data without disrupting the company’s established workflow.
The system transformed transaction data into compliant e-Invoices, automated validation through LHDN MyInvois, generated QR-coded PDF invoices, and distributed completed invoices to the relevant dealers and customers by email. It also produced reconciliation and exception reports, giving BHP clear visibility into failed validations, delivery errors, and processing status.
